Privacy Policy

This Privacy Policy explains how Trogster ("Trogster", "we", "us", or "our") collects, uses, stores, and shares information when you use our website at www.trogster.com, the Trogster manager dashboard, and the Trogster mobile app for Android, distributed on Google Play (together, the "Service"). This policy applies equally to the website and to the Trogster Android app.

By using the Service, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Service.

1. Who this policy covers

Trogster is a field operations and worker reporting platform. Two kinds of people use it:

• Account holders (managers) — people who create a Trogster account, set up tasks, and review submitted records.
• Workers — people who use the Trogster mobile app, paired to an account holder's organization, to submit photos, videos, voice notes, and other task records.

If you are a worker: the records you submit through the app are collected on behalf of the organization you work for, and that organization controls how those records are used. For questions about how your submissions are handled, or to request access to or deletion of records you submitted, please contact your organization first. We support them in responding to such requests.

2. Information we collect

Account information

• Email address and password (passwords are stored in hashed form — we cannot read them).
• Organization and task details you set up, such as task names, templates, and labels.

Content submitted through the app

• Photos, videos, and audio (voice notes) captured or uploaded by workers.
• Notes, labels, and other text entered with a submission.
• Location data: when a worker makes a submission, the device's GPS location is captured and attached to that record so managers can see where the work was done. Location is collected only at the time of a submission, subject to the location permission granted to the app on the device. You can withdraw this permission at any time in your device settings, though some features may not work without it.
• Date and time of each submission.

Device and technical information

• Device pairing codes and a device identifier used to link a worker's phone to an organization.
• Session and refresh tokens used to keep you signed in.
• Standard technical logs, such as IP address, browser or device type, and timestamps of requests, used for security and troubleshooting.

Android app permissions

The Trogster Android app requests the following device permissions, used only for the purposes described here:

• Camera — to capture photos and videos for task submissions.
• Microphone — to record voice notes for task submissions.
• Location (precise) — to attach the GPS position to a record at the moment it is submitted. Location is accessed only while you are using the app to make a submission; the app does not collect location in the background.
• Photos / media — to let you attach existing photos or videos from your device to a submission.

Each permission is optional and requested only when first needed. You can grant or revoke any of them at any time in your device settings; features that depend on a revoked permission will simply be unavailable.

Communications

• Messages you send us, for example by emailing info@trogster.com.

3. How we use information

We use the information we collect to:

• Provide and operate the Service — storing submissions, displaying them on the dashboard, and linking workers' devices to the right organization.
• Create and manage accounts, verify email addresses, and keep users signed in.
• Send service emails, such as email verification and important notices about the Service.
• Maintain safety and security — preventing abuse, detecting fraud, and debugging problems.
• Improve the Service, using aggregated, non-identifying information about how it is used.
• Comply with legal obligations.

4. How we share information

We share personal information only in these circumstances:

• Within your organization. Records submitted by workers (including media and location) are visible to the managers of the organization the device is paired with. That is the core purpose of the Service.
• Service providers. We use trusted third parties to run the Service, including cloud hosting and storage providers (where account data and submitted media are stored) and email delivery providers (to send verification and notification emails). These providers process data only on our instructions and are bound by confidentiality obligations.
• Legal requirements. We may disclose information if required by law, court order, or a valid governmental request, or where necessary to protect the rights, safety, or property of Trogster, our users, or the public.
• Business transfers. If Trogster is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction. We will notify you of any change in ownership or use of your personal information.

We never sell personal information to third parties.

5. Cookies and similar technologies

The Service uses cookies and similar storage (such as browser local storage) strictly to keep you signed in and to make the Service work — for example, storing session and refresh tokens. We do not use cookies for advertising or cross-site tracking. You can clear or block cookies in your browser, but you will not be able to stay signed in without them.

6. Data retention

• Account information is kept for as long as your account is active.
• Submitted records (media, notes, and location) are kept for as long as the organization's account retains them, so managers can review historical work.
• When an account is deleted, we delete or anonymize the associated personal information within a reasonable period, except where we must keep it to comply with legal obligations, resolve disputes, or enforce agreements.
• Technical logs are kept for a limited period for security and troubleshooting, then deleted or anonymized.

7. Security

We take reasonable technical and organizational measures to protect personal information, including encrypted connections (HTTPS), hashed passwords, and access controls limiting who can view stored data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security — but we work to protect your information and to respond quickly if something goes wrong.

8. Your rights and choices

Depending on where you live, you may have legal rights over your personal information. Regardless of location, we offer everyone the ability to:

• Access the personal information we hold about you.
• Correct inaccurate information.
• Delete your account and associated personal information.
• Object to or restrict certain processing.

To exercise any of these rights, email info@trogster.com. If you are a worker, please contact your organization first (see Section 1); we will assist them in responding.

Deleting your data

• Account holders: you can request deletion of your account and all associated data (including your organization's submitted records) by emailing info@trogster.com from your account email address. We will confirm and complete the deletion as described in Section 6.
• Workers: you can unpair the app from an organization at any time, and you can uninstall the app, which removes any locally stored data from your device. Records already submitted are held by your organization; contact them (or us) to request their deletion.

You can also control the app's access to your camera, microphone, and location at any time through your device's permission settings.

9. International transfers

Our service providers may store and process information in countries other than your own. Where information is transferred internationally, we take reasonable steps to ensure it receives an adequate level of protection consistent with this policy and applicable law.

10. Children

The Service is intended for business use and is not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us at info@trogster.com and we will delete it.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and update the effective date above. For significant changes, we will provide more prominent notice, such as an email to account holders. Continued use of the Service after changes take effect means you accept the updated policy.
